Terms and Conditions at Wavelength Tutoring

At Wavelength Tutoring, we understand that schedules can change. To ensure fairness for both students and tutors, we have implemented the following cancellation policy:

1. Notice Period

• If you need to cancel or reschedule a session, please provide at least 24 hours’ notice.

• Cancellations made with less than 24 hours’ notice may be subject to a cancellation fee.

2. Cancellation Fees

• More than 24 hours’ notice – no charge; the session can be rescheduled.

• Less than 24 hours’ notice – a 50% fee of the session cost will be charged.

• No-shows – the full session fee will be charged.

3. Emergency Exceptions

• We understand that emergencies happen. In cases of illness or unexpected circumstances, please contact us as soon as possible, and we’ll assess the situation on a case-by-case basis.

4. Tutor Cancellations

• If the tutor needs to cancel a session, we will notify you as soon as possible and offer to reschedule at a convenient time.

5. How to Cancel or Reschedule

• Please notify us via phone or message to cancel or reschedule a session.

Our first session is where we enable the tutor to connect with the student and reveal a better understanding of where they are at, and where they need to be. This lesson will also set out the course plan for what will be taken up through the rest of the term. This will also include teaching and going over content too, like a normal session.

If the parent and/or student are dissatisfied with the first lesson, with the tutor or the company overall - you don't pay a cent.

If however the parent and student are feeling confident in our ability to tutor and organise the sessions, that first lesson is paid, and we continue on for the term.

We offer a structured payment plan to provide consistency and reliability in your child’s tutoring journey. Below is a breakdown of how our payment system works:

1. Prepaid Package System

Parents commit to a prepaid tutoring package for a set period, such as 10 weeks, a school term, or a full academic year. The payment covers all tutoring sessions within this period, ensuring the student has dedicated support from their tutor throughout.

2. Session Tracking & Completion

• The package guarantees the agreed number of sessions. For example, if a student has 2 lessons per week for 10 weeks, they are entitled to 20 sessions.

• The plan is only considered complete once the full number of sessions has been delivered.

• If a student misses a session for any reason, the session is not counted as complete, and the package continues until all sessions have been fulfilled.

3. No Refund Policy

• Once the payment plan is agreed upon and commenced, we are unable to provide a full refund if a parent or student chooses to discontinue tutoring within the agreed period.

• This policy ensures fairness to both our tutors and students, as tutors commit their time in advance.

4. First Lesson Guarantee

• To ensure satisfaction before fully committing to the package, we offer a First Lesson Guarantee.

• This means parents and students can evaluate the tutoring experience in the first session before proceeding with the full package.

• If the first session does not meet expectations, we will work with the family to find a solution before moving forward.

By enrolling in our payment plan, parents and students benefit from a structured and uninterrupted learning experience, ensuring steady progress and academic success. We are open to providing discounts in the overall package!

If parents prefer to pay on a weekly basis, we offer flexible payment options:

• Bank Transfer to our Wavelength Tutoring account.

• Cash Payments are accepted by specific tutors.

Payment Expectations & Schedule

• Weekly payments allow students to cancel tutoring sessions at any time. However, we encourage a consistent commitment for the best learning outcomes.

• Payment for upcoming tutoring sessions must be made in ADVANCE to confirm the booking. Sessions will not proceed without prior payment.

First Lesson Guarantee

As with all our plans, we offer a First Lesson Guarantee, ensuring students and parents are satisfied with our tutoring before committing further.

Once a package payment plan or weekly payment plan has been arranged with Wavelength Tutoring, students and parents receive more than just high-quality tutoring sessions. Our services include:

1. 24/7 Tutor Support

Students can reach out to their tutor outside of lesson time for questions, explanations, and detailed solutions to problems. While tutors do their best to respond promptly, please understand that responses may take time to ensure a high level of detail and accuracy.

2. Extra Learning Resources

If needed, students can receive additional worksheets and resources provided by Wavelength Tutoring to reinforce their learning and offer extra practice.

3. 24/7 Organiser Support

Parents have direct access to Wavelength organisers for logistical questions, including:

• Payment inquiries

• Scheduling changes

• Location adjustments

• General concerns

We strive to create a stress-free and seamless tutoring experience, ensuring that lesson structures, locations, and schedules are as convenient and accommodating as possible for both students and parents.

If you are located far from our available tutors, we strongly recommend online tutoring for your child.

Why Online Tutoring?

Some parents may be hesitant about online tutoring, fearing it may be distracting or less effective than face-to-face lessons. However, our experienced online tutors ensure these concerns are not an issue. In fact, online tutoring can often be more interactive and flexible, providing tools and resources that may not be available in-person.

In-Person Tutoring & Travel Fees

If you strongly prefer in-person tutoring at a local library or your home, we will do our best to accommodate your request. However, availability depends on:

• Tutor proximity (We may not have a tutor in your area, or they may be fully booked.)

• Travel feasibility (If a tutor can travel, a travel fee applies to cover their time and costs.)

Travel Fee Structure:

• 20+ minutes away → $5 per session

• 30+ minutes away → $10 per session

• 60+ minutes away → $30 per session

This fee goes directly to the tutor to compensate for travel time and expenses.
